Qwilr Review 2026: Pricing, Features & Honest Verdict
Qwilr review 2026: $35 a seat a month billed annually, Growth and Scale with 5 and 10 user minimums, $2.50 automated documents, and what users report.
Qwilr is a proposal and quote tool from Australia. You build a proposal as an interactive web page, with a quote your buyer can adjust, and the buyer accepts it on that page with an e-signature and can pay through QwilrPay. E-signing is one part of the product, not the product.
In October 2026 Starter is $35 a user a month on annual billing, or $49 billed monthly; Growth starts at five users and Scale at ten, both annual only. Signing is included on every plan, while documents you create through the API, Zapier, Make or Qwilr's MCP server cost $2.50 each once the free ones run out.
My Qwilr review in one line: for a sales team that sends priced proposals and wants the buyer to sign and pay on the same page, Qwilr does that job well; for one person who only needs contracts signed, it's a $420 a year proposal suite, and its users have complained about the price for a small business since 2016.

Qwilr review verdict: who it's for and who should skip it
Qwilr is worth paying for when the document is the sale. A web page proposal with video, an interactive quote, view analytics, signing and payment in one place is what it does best, and its G2 score of 4.6 from 933 reviews reflects that.
It's a weak buy when all you need is a signature. Starter is the only plan sold for one seat, at $420 a year on annual billing. Growth needs at least five seats ($3,300 a year) and Scale ten ($9,000 a year), so identity verification for page viewers and the Salesforce integration are out of reach for a solo buyer.
Best for: sales teams and agencies sending priced proposals; teams that want buyers to sign and pay on one page; HubSpot, Pipedrive and Zoho users on Starter, and Salesforce users on Scale.
Skip if: you only need contracts or forms signed, you send a few documents a month, you want a signing order or automatic reminders documented in the help center, or you want to cancel without losing your shared links.

What users say about Qwilr, 2016 to 2026
The quotes below come from G2, Capterra, SoftwareReviews and the HubSpot App Marketplace. Trustpilot and Product Hunt have no Qwilr reviews, I found no Qwilr app in the App Store or Google Play, and I found no Reddit thread, Hacker News comment or public X or LinkedIn post I could read and quote.
Each quote is copied as written, dated and linked, grouped by theme, with the complaints in full and a few positives. Most Qwilr reviews are positive; the harshest are older, so read the date on each card.
Capterra limited my visits, so the Capterra quotes I could not open again on the live page are marked as archived copies, with the date of the Internet Archive copy I read them in, and link to that copy. I believe these are the reviewers' own words as Capterra showed them on that date, since an archived copy keeps the page exactly as it was.Pricing and billing: expensive for a small business
Price comes up across the years, from 2016 to 2023. The thread is small businesses paying for a tool priced for teams; a 2019 reviewer says the plans required 5 or more users. One 2025 reviewer says some limits only showed up after they were locked in.
“Despite the fact that I am aware of the software's potential and value, I am dissatisfied with its astronomical price.”
“It's pricing is a bit expensive for a single-person business. I really appreciate the product but when looking to cost cut, I've been considering other options.”
“We did encounter a bit of bait and switch to a few key things Qwilr cannot do, but overall content with our purchase. If you pursue the produce be overly clear with your needs and ask multiple follow-up questions.”
A 3 out of 5 review. In the cons the same reviewer writes: "They are pretty vague with what the system can (and cannot) until you're locked in."
“Qwilr doesn't have right customised template as their design and templates are not upto the mark (compare to other tools) along with that it is quite expensive for long run.”
“The product changes without notice. There have been critical technical issues that have caused me to miss sales deadlines on specific proposals. Moreover, what I dislike the most is how they advertise to freelancers, but the plans require 5 or more users. This is incredibly off-brand. In the last 1-2 years pricing has changed so many times I can't keep up. It's very confusing...”
A 0 out of 5 review titled "Over-priced, confusing, off-brand", about Qwilr's 2019 plans.
“The pricing model can be expensive and it's tough to commit to the larger user packages for a small business. This means that the work load isn't able to be spread out between the team as much as we would like...”
“The price gap is way to large between the basic and the plus. Some of the features in the higher priced version would be amazing to have but the gap in prices is just too much for our young scrappy company...”
“It is very expensive and I will think only large teams and organizations are able to enjoy the luxury of this. I doubt a small ,bootstrapping team can afford Qwirl.”
“Price and limitations - would love to have complete freedom, like InDesign mixed with guidelines...”
A 2.5 out of 5 review titled "Unique and valuable product, but expensive and restrictive".
“It's just changed to a paid model and begins at a pretty expensive price point of $29 per month which is what we pay. I think they need to review the pricing structure as the minimum is too high and the next price point is too much of a difference.”
Written about Qwilr's 2016 plans, not today's prices.
“Price. Significantly less expensive than their competitors which aren't as user friendly.”
Support: rated well, onboarding thinner than sold
Capterra reviewers rate Qwilr's customer service 4.6 out of 5. The two complaints I found are about getting started: a 2025 reviewer says the 30-day onboarding package came to about three hours of training, and a 2018 reviewer still didn't have proper access.
“The interface is easy enough to make up for limited onboarding with the package we provided. 30 days onboarding really only means about 3 hours total of training.”
“That I still don't have access so once I have access it'll be easier for me to review and see what I think...”
A 2.5 out of 5 review titled "Haven't received proper access yet".
Ease of use: easy to start, rigid when you want control
Several reviewers find Qwilr easy to use. The complaints, as recent as September 2026, are about limited design control, a learning curve once you edit blocks, bugs, managing many documents, and two people editing at once.
“One major flaw with Qwilr is that the design features are pretty limited. It's difficult to customize the look of things or the placement of assets, like pictures or text. The preset design tools are much more limited than something like Canva...”
A 3.5 out of 5 review. The same reviewer likes that "it's super easy for clients to sign off on it."
“The document management. I cannot easily close all the links to past deals. Until recently we didn't set an expiration on deals. Occasionally, the navigation is clunky with updating a design.”
“It has a long learning curve which is kind of discouraging.”
“The editing functions of Qwilr are very restrictive... It is also difficult to collaborate in Qwilr. Multiple users cannot be editing the same proposal at once, and there is no change tracking, with Qwilr telling us that there are no plans to implement it in the future...”
A 2 out of 5 review titled "Simple, for better or worse".
“It is so painful to change and make alterations to templates especially when they are linked to Hubspot...”
A 2 out of 5 review titled "Hard to set up even harder to alter".
“Very buggy platform - keeps crashing. Design/style is outdated. You can't freely design and use the space. You can use their templates but I doubt you will like all the styles for those sections. Better stick with Canva or Google Slides. The platform lacks flexibility -same with the refund process!...”
A 0.5 out of 5 review titled "I regret subscribing to this".
“Customization of proposals can be challenging. There is a learning curve for understanding how to edit and use blocks.”
“I find it somewhat difficult to add new sections to templates. For example, if I am using one template but want to add a unique section that I saw from a different template, it takes me a while to recreate it from scratch...”
“Generally, the document editing component is pretty tough to utilize and quite rigid. Things like the price table have a one size fits all approach to presenting information...”
A 2 out of 5 review titled "Wrong fit". The reviewer says Qwilr was pitched to them as a contract management tool.
“Saving and collaboration. A few times, we've had issues with the pricing reverting back to an old version, or if we need more than one person working on a proposal at a given time.”
“I like how once you get the hang of Qwilr, it's very easy to use. I also like the fact that I'm able to integrate it into the CRM that I use.”
“It's a revelation to have templates filled out and to only have to do 20% of the work, tweaking the final proposal.”
“How easy it is to use and how easy it is to train someone to use it”
Signer experience: one page to read, sign and pay
A 2019 reviewer likes that approval and payment are built in. The complaints are about what surrounds signing: an accepted proposal that can't be changed, clients sometimes asked to create an account, unreliable notifications in 2019, and legal review outside Qwilr.
“Apparently, when sent to a client, they are sometimes instructed to create an account which shouldn't be the case to view the proposal link...”
A 2 out of 5 review.
“...if we need to go through the legal process with a client, we typically end up having to convert our Qwilr document into a Word document for attorneys to review and mark up. It would be nice if there was an export feature that made this easier. Today we have to do this manually through copy-paste.”
“Can’t modify proposal once accepted. Super frustrating for how I use it with my clients. Also payment is not ideal - have to add processing fee as a line item rather than auto added to total. No space for gratuity line...”
A 2.5 out of 5 review.
“Notifications were not reliable for views/signatures...”
“I really appreciate that Qwilr has a built-in approval and payment system. I've eliminated two other systems with the addition of Qwilr, and saved our small studio thousands of dollars.”
Features, integrations, the API and MCP
PDF export is the most repeated feature complaint, from 2019 to August 2026. The rest are about integrations, such as HubSpot in 2026, Microsoft 365 and billing systems, and about reporting, the pricing feature and reusing a proposal.
“App hasn't worked for 2 months now since changes.”
About Qwilr's HubSpot app, in a 5 out of 5 review of the app.
“Sometimes its not easy to format text if you've copy and pasted it over. Also the new Hubspot integration won't connect yet...”
A 4.5 out of 5 review.
“sometimes takes time to convert the documents in PDFs.”
“If you are in a Microsoft 365 ecosystem you'll need a third party to do most of your embedding and something like Zapier for your CRM.”
“The biggest thing I don't like is the reporting features but we don't rely on them too often”
“Downloading the PDF, but it is getting better.”
“I find a few difficulties with formatting when printing pages as PDF”
“We have the pricing feature on there but it doesn't work the way it should for our industry.”
“Would be great to integrate with our billing system to prevent double entry of new clients...”
A 0 out of 5 review titled "Quick and easy proposals".
“Better Export to PDF would be ideal, as we find it sometimes messes with the layouts a little when we try and print them! But as we mostly deal with online sends this very rarely effects us.”
“Cannot use one proposal more than once. Used this product to generate sponsorship revenue. Each sponsor had to have their own proposal. Inefficient and ineffective...”
A 0 out of 5 review titled "Inefficient".
“Export to pdf is still clumsy. I did experience some significant bugs in the last major feature rollout which did affect two client proposals and their deadlines.”
“It was the only software we found that could add discounts across multiple sections, and properly relate totals together.”
I found no user review about Qwilr's MCP server. Qwilr's own pages cover it in the API and MCP section below.
What Qwilr is and its key features
Qwilr turns proposals, quotes and other sales documents into web pages. You build a page from blocks and templates, send the link, and Qwilr tells you who viewed which section. The buyer can change quantities or optional items in a quote block, accept the page with an e-signature, and pay through QwilrPay, which runs on Stripe.
Here is what Qwilr's pricing page and help center list, checked October 9, 2026:
| Feature | What Qwilr does |
|---|---|
| Pages | Interactive web pages built from blocks and templates; "Unlimited" pages on every plan |
| E-sign | An Accept block on the page; one Accept block per page, one or more signers |
| Signatures | Typed or drawn with a mouse or finger, on computer, tablet or mobile; sign or initial specific clauses |
| After acceptance | The accepted page can't be reversed, deleted or edited; you clone it and void old copies |
| Record | An audit trail, downloadable by both parties when a page is signed |
| Payments | QwilrPay, with a 0.09% fee per transaction on Starter and 0% on Growth and Scale, plus Stripe's fees |
| Analytics | Views and engagement; 60 days of history on Starter, 120 on Growth, unlimited on Scale |
| CRM | HubSpot, Zoho and Pipedrive from Starter; Microsoft Dynamics 365 from Growth; Salesforce on Scale |
| Automation | API access on every plan, "usage costs apply"; Zapier and Make; Smart Proposal Engine on Scale |
| AI | An MCP server for AI assistants on every plan; AI Prefill on Scale |
What Qwilr does well
- Signing, quoting and payment on one page. The buyer reads the proposal, adjusts the quote, signs and pays without leaving it.
- Signing isn't metered. Qwilr's credits article says pages you make by hand or from your CRM use no credits, so you can send and get signatures on as many of those as you like within your plan.
- Engagement tracking. Qwilr shows which sections a buyer viewed, and alerts you if someone starts to sign and then abandons it.
- HubSpot, Zoho and Pipedrive on the cheapest plan. Starter includes all three.
- An API and an MCP server on every plan. Both exist from Starter; the catch is the per-document cost, covered below.
- Well-rated customer service. Capterra reviewers rate it 4.6 out of 5 (checked October 9, 2026).
Qwilr pricing in 2026 (checked October 2026)
Qwilr's pricing page showed these prices in US dollars on October 9, 2026. Customers in Australia and New Zealand see prices in Australian dollars.
| Plan | Price | Users included | Extra users | Billing |
|---|---|---|---|---|
| Starter | $35 a user a month billed annually, or $49 billed monthly | 1 | $35 a user | Annual or monthly |
| Growth | $275 a month | 5 | $55 a user | Annual only |
| Scale | $750 a month | 10 | $75 a user | Annual only |
There is no free plan. Qwilr offers a 14-day trial of Starter with no credit card, and the pricing FAQ says student and non-profit discounts are available if you get in touch.
Automated documents are priced separately. Documents created through the API, Zapier or Make, the Smart Proposal Engine, or from templates through the MCP server draw on document credits:
| Automated documents | Starter | Growth | Scale |
|---|---|---|---|
| Free documents included | 40 (none if billed monthly) | 200 | 600 |
| Pay as you go | $2.50 a document | $2.50 a document | $2.50 a document |
| 250-document bundle | $500 ($2 a document) | $500 | $500 |
| 1,000-document bundle | Not offered | $1,800 | $1,800 |
| 2,000-document bundle | Not offered | $3,200 | $3,200 |
| 5,000-document bundle | Not offered | Not offered | $7,500 |
A few rules from Qwilr's own pages, checked October 9, 2026:
- Only Starter can be paid monthly. The billing FAQ says "Only the Starter plan can be billed monthly" by switching the billing toggle to Monthly.
- No refunds. "Refunds are not offered except as required by applicable consumer protection laws." Annual plans can be cancelled at any time, but unused time isn't refunded.
- Seats go down only at renewal. "Seat reductions take effect at your next renewal and cannot be made mid-cycle."
- Credits expire. "All credits expire after 12 months" from purchase, and when your credit reaches $0, automated documents keep being created and are billed at the pay-as-you-go rate. Asked whether there is a spending cap, the credits article answers "Not currently."
- Free documents are a first-year allowance. The credits article describes free credits as given for the first year of a plan, and the pricing page lists an annual renewal of document automation credits only on Scale.

Where Qwilr falls short
Points 1 to 6 come from Qwilr's own pages, checked October 9, 2026; points 7 and 8 come from users.
- One seat means Starter. Growth and Scale include five and ten users and are billed annually, so the cheapest way into Growth is $3,300 a year and into Scale $9,000.
- Identity verification starts at Growth. It asks page viewers to identify themselves by email or by signing up, and it's listed as a Growth feature, so a solo buyer on Starter can't get it.
- Automation is metered. Documents made through the API, Zapier, Make or the MCP server cost $2.50 each once the free ones are gone, with no spending cap, and monthly Starter includes no free ones.
- No refunds and no mid-cycle seat cuts. You pay for the term you signed up for.
- Your links stop working when you leave. After cancellation takes effect at the end of the billing period, the pricing page says your Qwilr pages are turned off, and the billing FAQ says "your public page URLs will no longer work." After a trial ends, pages stay live for 30 days.
- No signing order or automatic reminders in the help center. The Accept block article and the e-sign page describe one or more signers, but neither describes a signing order or automatic signer reminders.
- PDF exports. Reviewers from 2019 to August 2026 report broken layouts or slow conversion when they export to PDF.
- Price for small teams. It's one of the most repeated complaints in the reviews above.
What a year of Qwilr costs at 5, 10 and 25 documents a month
For one person, the plan that covers it is Starter with one seat. Pages you create by hand or from your CRM, and their e-signatures, use no credits, so the price doesn't change with volume. Prices checked October 9, 2026, before tax:
| Volume, one sender | Plan | 1 year, annual | 1 year, billed monthly | 3 years, annual | Per document, annual |
|---|---|---|---|---|---|
| 5 a month (60 a year) | Starter | $420 | $588 | $1,260 | $7.00 |
| 10 a month (120 a year) | Starter | $420 | $588 | $1,260 | $3.50 |
| 25 a month (300 a year) | Starter | $420 | $588 | $1,260 | $1.40 |
If the same documents are created automatically through the API, Zapier, Make or the MCP server, annual Starter includes 40 free documents in the first year and each one after that costs $2.50, or $2 in a 250-document bundle for $500. Monthly Starter includes none, so every automated document costs $2.50.
Which Qwilr plan fits you
| You are | Plan | Why |
|---|---|---|
| One person sending priced proposals | Starter | The only plan sold for one seat |
| A team of up to 5 that needs custom branding or viewer identity verification | Growth | Both start at Growth; you pay for 5 users either way |
| A sales team on Salesforce | Scale | Salesforce is a Scale feature, with 10 users included |
| Someone who wants to try it first | The 14-day Starter trial | No card needed |
| Someone who only needs contracts signed | Probably a signing tool | You'd pay for a proposal suite; see who should skip it, below |

- Sending priced proposals without those: Starter.

Does Qwilr have an API or an MCP server?
Yes to both.
The API. Qwilr's pricing page lists "API access (usage costs apply)" on Starter, Growth and Scale, and "Enhanced API support" on Scale. The credits article says documents created through the Public API, Zapier or Make, and the Smart Proposal Engine use credits, at $2.50 a document after your free ones. Webhook subscriptions and other API features that don't create documents don't use credits.
The MCP server. Qwilr's MCP page says it's "Available on every plan" and works with Claude, ChatGPT, Cursor and Windsurf. An assistant can create proposals from your templates, check how proposals are performing, manage and tidy up pages, and pull deal details from your CRM. The pricing page adds that creating pages from templates through the MCP draws on document automation credits (checked October 9, 2026).
Is Qwilr secure and legal?
Qwilr's Trust and Security page, last reviewed September 10, 2026, says Qwilr completes a SOC 2 Type 2 audit each year, is PCI-DSS compliant with payments through Stripe, and is GDPR compliant. It also says Qwilr is compliant with the requirements of UETA and the E-SIGN Act. HIPAA isn't mentioned on the page.
The e-sign page's FAQ says Qwilr's e-signature complies with the requirements of Australian law, which it says align with the E-SIGN Act and UETA in the US, and recommends getting legal advice for your own country (checked October 9, 2026).
How I reviewed Qwilr
Through running a freelancing agency and then a consulting agency, and working around a lot of freelancers, consultants and the people we serve, my team and I have gathered information about Qwilr. For this review I also read Qwilr's own pages and what its users wrote from 2016 to 2026, and checked everything again on October 9, 2026:
- Qwilr pages: the pricing page with its comparison table and FAQ, the credits and usage-based billing article (updated September 28, 2026), the billing FAQs (updated September 25, 2026), the Accept Blocks article (updated August 17, 2026), the e-sign product page, the MCP page and the Trust and Security page.
- Review platforms: G2's lowest-rated and most recent Qwilr reviews, read without logging in, so longer G2 reviews are cut where G2 hides the rest; SoftwareReviews by Info-Tech; the HubSpot App Marketplace listing for Qwilr's app; and Capterra's live Qwilr review page, plus the Internet Archive's copies of it from April 18, 2026 and October 19, 2019 for the quotes marked as archived. Trustpilot and Product Hunt have no Qwilr reviews. Software Advice, GetApp and TrustRadius blocked my visits. I found no Qwilr app in the App Store or Google Play.
- Forums and social: Reddit blocked my visits, and I found no Reddit thread, Hacker News comment, or public X or LinkedIn post about Qwilr that I could read and quote.
Who should skip Qwilr, and what to use instead
Keep Qwilr if:
- you send priced proposals and want buyers to adjust a quote, sign and pay on one page
- you rely on view analytics, QwilrPay, or a CRM integration such as HubSpot, Pipedrive, Zoho or, on Scale, Salesforce
- you need templates today; SignWith templates are coming soon
Sales teams choosing a proposal tool should compare Qwilr with PandaDoc and Proposify, not with a signing tool.
Skip Qwilr if you're one person, or a small team, who needs contracts signed a few times a month, unevenly, and doesn't need a proposal builder. That is who we built SignWith for.
SignWith has no seats and no subscription. You buy credits, and a credit is used only when a document is signed. Every signed document uses one of your free monthly documents or a credit, including one that only you sign, and a declined, voided or expired document uses none.
- Upload a PDF, JPEG or PNG, add signature, date, text and checkbox fields, and set the signing order.
- Your recipients sign in the browser on any device, with no account.
- Every completed document comes with a Certificate of Completion that records timestamps, IP addresses, device and browser details and email events, sealed with a SHA-256 hash.

- Qwilr Starter, billed annually, 1 user$35 per seat month, 1 seat$420
Here is the same year at all three volumes, for one sender. Qwilr prices checked October 9, 2026; SignWith's free monthly documents continue after you buy credits.
| Volume | Qwilr Starter, 1 year | SignWith, 1 year |
|---|---|---|
| 5 a month | $420 annual, $588 monthly | 3 free a month cover 36 documents; one Pro pack covers the other 24 for $19 |
| 10 a month | $420 annual, $588 monthly | 84 paid documents: one Business, one Pro and one Basic pack, $29 plus $19 plus $9 |
| 25 a month | $420 annual, $588 monthly | 264 paid documents: the Lifetime Deal at $149 one-time, cheaper than buying packs |
At today's prices SignWith saves 95% at 5 a month, 86% at 10 and 65% at 25, against Starter billed annually, in the first year. Over 3 years Starter comes to $1,260, against the Lifetime Deal at $149 one-time.
Qwilr has its own API and MCP server, so having one isn't the difference. Here is where SignWith comes ahead for the person it's built for, each point checkable on both sites:
- No seat to pay for first. SignWith has a REST API and an MCP server for AI assistants such as Claude, ChatGPT, Cursor and VS Code on every account, with no plan to buy. Qwilr's API and MCP come with a seat at $35 to $75 a user a month.
- No second meter. On SignWith, documents created through the API or an assistant use the same credits as the web app. On Qwilr, documents the API, Zapier, Make or the MCP create from templates cost $2.50 each after the free ones, on top of the seat.
- A credit is used only when a document is signed. Qwilr's credits are used when an automated document is created, signed or not.
- No subscription to cancel. SignWith credit packs are one-time purchases valid for 12 months, and the Lifetime Deal is one payment. Qwilr plans renew, with no refunds and seat cuts only at renewal.
SignWith has no proposal builder, interactive quotes or payments, and templates, bulk send, automatic reminders, team accounts and integrations are coming soon. If you need any of those today, Qwilr, or another proposal tool, is the better buy. SignWith is used by 1,000+ businesses, and you can start free with no card.
No subscription. You buy credits, and a credit is used only when a document is signed. One credit covers one signed document, however many people sign it.
- Unlimited credits
- Never expires
- One-time payment

If you're comparing proposal tools, the PandaDoc review, the Proposify review and the GetAccept review cover three sales document tools with e-signing built in, and PandaDoc alternatives lists more options.

- Yes. Qwilr's MCP server is available on every plan and works with assistants such as Claude, ChatGPT, Cursor and Windsurf. Creating pages from templates through it draws on document automation credits (checked October 9, 2026).
Can one person buy Qwilr Growth?
- Growth includes 5 users and Scale 10, and both are billed annually, so one person would pay for 5 users on Growth, $3,300 a year. Starter is the only plan sold for one seat (Qwilr pricing page, checked October 9, 2026).
E-signature rules vary by country, state and document type, so check with a legal professional that an e-signature suits your specific agreement before you rely on it.
